This research explores the critical success factors (CSFs) for implementing robotic process automation (RPA) in the hotel industry, focusing on practical insights from Pakistan and China. Using qualitative interviews and thematic analysis supported by NVivo 14 software, the study identifies facilitators and barriers to RPA adoption in hotels within these two countries.
The findings are organized into three phases: pre-implementation, implementation, and post-implementation. In the pre-implementation phase, hotels should clearly define their goals for RPA adoption, identify which processes are suitable for automation, and ensure alignment among all stakeholders including management and staff. This alignment helps build consensus and readiness for change.
During implementation, having a dedicated project team is crucial. This team should focus on standardizing processes to be automated, which reduces complexity and improves efficiency. A detailed project plan is also necessary to guide the rollout and manage resources effectively.
Post-implementation success depends on continuous monitoring of the automated processes, establishing performance metrics to evaluate effectiveness, and providing ongoing training to staff to adapt to new workflows and technologies. This ensures that RPA delivers sustained benefits and can be optimized over time.
For hotel professionals, these findings emphasize that RPA is not just a technology installation but a strategic change requiring careful planning, collaboration, and management. Clear goal setting and stakeholder engagement before starting can prevent resistance and misalignment. Standardizing processes before automation reduces errors and maximizes efficiency gains.
Dedicated teams and detailed plans help keep projects on track and within budget. After deployment, continuous performance tracking allows hotels to measure ROI and identify areas for improvement. Training ensures employees are comfortable and competent with new systems, enhancing guest service quality and operational reliability.
Overall, the study provides actionable guidance for hotel operators and technology managers aiming to implement RPA. By following these critical success factors, hotels can improve operational efficiency, reduce manual errors, and enhance guest experiences through automation.
Policymakers and industry leaders can also use these insights to support digital transformation initiatives in hospitality sectors similar to those in Pakistan and China.
