What the paper studied

This study examines the critical success factors (CSFs) for implementing robotic process automation (RPA) in the hotel industry, with a focus on practical experiences from hotels in Pakistan and China. Using qualitative interviews and thematic analysis with NVivo 14 software, the research identifies both facilitators and barriers to RPA adoption. The analysis is structured around three key phases: pre-implementation, implementation, and post-implementation.

Key findings

  • In the pre-implementation phase, hotels need to clearly define their objectives for RPA, select appropriate processes for automation, and ensure alignment among all stakeholders, including management and staff. This alignment is essential for building consensus and preparing for change.
  • During implementation, the presence of a dedicated project team is vital. This team should focus on standardizing the processes to be automated, which helps reduce complexity and enhances efficiency. A comprehensive project plan is also necessary to guide the rollout and manage resources effectively.
  • Post-implementation success relies on continuous monitoring of automated processes, the establishment of performance metrics to evaluate effectiveness, and ongoing staff training to help employees adapt to new workflows and technologies.
  • These factors collectively ensure that RPA delivers sustained benefits, can be optimized over time, and supports both operational improvements and guest service quality.

Why it matters for hospitality

The study highlights that RPA implementation in hotels is not merely a technical upgrade but a strategic transformation. Careful planning and collaboration are required to avoid resistance and misalignment. Standardizing processes before automation reduces the risk of errors and maximizes efficiency gains. Ongoing evaluation and training after deployment help maintain the benefits of automation and support high-quality guest experiences.

Practical takeaways

  • Clearly define RPA goals and engage all relevant stakeholders early to foster consensus and readiness for change.
  • Assemble a dedicated project team to standardize processes and develop a detailed implementation plan.
  • Continuously monitor automated processes using established performance metrics to assess effectiveness and identify areas for improvement.
  • Provide ongoing training and support to staff to ensure they are comfortable and competent with new automated systems.

By following these critical success factors, hotel operators and technology managers can improve operational efficiency, reduce manual errors, and enhance guest experiences through effective RPA adoption. Policymakers and industry leaders can also use these insights to guide digital transformation initiatives in hospitality sectors similar to those in Pakistan and China.

Beyond love and breakup: integrating intervention letters for nuanced insights into consumer-robot relationships

This study enhances the traditional Love and Breakup Letter Method by adding an 'intervention letter' category to better capture consumer sentiments toward service robots in hotels. Results show that consumers prefer intervention letters, indicating a strong desire to contribute ideas for service improvement and co-creation, which can help hotels deepen guest engagement and improve robot services.
